
RESERVATION & CONDITIONS - Kalliokumpu Eco Lodge
1. SCOPE OF APPLICATION AND SPECIAL TERMS AND CONDITIONS
These General Terms and Conditions apply to the booking of accommodation, activities, experiences, workshops, excursions, programmes and related additional services provided by Kalliokumpu Eco Lodge, unless a special agreement has been made or the General Terms and Conditions for the relevant price product stipulate otherwise.
2. RESERVATION AND CONFIRMATION
When making a reservation, you must provide your name, residential address, telephone number, credit card number, payment method and arrival time. The reservation is binding as soon as it has been confirmed verbally, in writing or by other means, e.g. by email.
The online booking service will send a booking confirmation to the email address provided by the guest. Kalliokumpu Eco Lodge accepts no responsibility if the reservation fails or the booking service malfunctions in any other way. The guest must contact Kalliokumpu Eco Lodge immediately to rectify the situation. In such a case, Kalliokumpu Eco Lodge cannot guarantee the availability of the accommodation. If the lodge is not available, the purchase will be cancelled and the payment refunded.
Please note that activities & experiences and additional services are only available to guests who have booked accommodation at Kalliokumpu Eco Lodge.
3. PAYMENT
Accommodation and additional services, as well as activities, experiences, workshops, excursions, programmes and related additional services will be invoiced at the time of booking. If the booking has not been paid in advance, it must be paid upon arrival at Kalliokumpu Eco Lodge.
For online bookings, we accept payment via Stripe (bank transfer or one of the major credit/debit cards). Payments on site can be made in cash or via MobilePay.
4. GIFT VOUCHERS
A Kalliokumpu Eco Lodge gift voucher can be used to book accommodation at Kalliokumpu Eco Lodge on available dates.
The gift voucher is valid for one year from the date of issue. The gift voucher can only be used once and the full value of the voucher will always be used. Partial redemption of the voucher is not possible. The voucher cannot be refunded or exchanged for cash or credit and cannot be replaced or refunded if lost, stolen or used. The expiry date cannot be extended.
5. ARRIVAL/DEPARTURE & PERSONAL DETAILS
Check-in at Kalliokumpu Eco Lodge is on the day of arrival from 3 p.m.
On the day of departure, the accommodation must be vacated by 11 a.m.
We prefer arrivals by 6 p.m. at the latest. Later arrivals are possible if you let us know at least one day before your arrival.
To stay at Kalliokumpu Eco Lodge, each guest must have a valid ID card or passport with them.
Upon arrival, you must provide your name and the names of all your fellow travellers, which will be recorded in the passenger declaration for travellers (in accordance with government regulations for accommodation providers).
6. CANCELLATIONS AND NO-SHOWS
For cancellations made at least 60 days before the date of arrival, we will refund 70% of your booking.
For cancellations made 59-30 days before the date of arrival, we will refund 50% of your booking.
For cancellations made 29-15 days before the date of arrival, we will refund 40% of your booking.
For cancellations 14–1 days before arrival, we will refund 20% of your booking.
If you cancel your booking on the day of arrival or do not arrive at all, the cancellation fee is 100% and we will charge the full price of the booking.
Kalliokumpu Eco Lodge is not obliged to accept cancellations without cancellation fees, e.g. based on a medical certificate or other documentary evidence.

7. REBOOKINGS
Rebookings will be charged separately.
You can transfer your stay to family, friends or similar at any time. In this case, please send us an email with your name, your request, your booking number and the name of the person or persons travelling in your place. The service fee for changes is £25.

8. ACTIVITIES & EXPERIENCES
‘Activities’ and “experiences” are activities, experiences, workshops, excursions, programmes and related additional services organised by Kalliokumpu Eco Lodge or sold by Kalliokumpu Eco Lodge but organised by a third party.
For activities and experiences, we meet 15 minutes before the reserved/agreed start time at Kalliokumpu Eco Lodge. If you arrive later, you must inform Kalliokumpu Eco Lodge. Otherwise, your right to the booked activity will be forfeited and Kalliokumpu Eco Lodge may resell the activity to someone else. If you do not show up at the agreed time, your right to the activity will also be forfeited. The price for the reserved and ordered activity must still be paid and you cannot request a refund of the payment already made.
Despite careful and safe execution of the activities, accidents involving persons and/or damage to property cannot be ruled out. We accept no liability in the event of an accident. Guests participate in activities at their own risk.
Guests must inform Kalliokumpu Eco Lodge and/or the activity provider of any health problems or allergies and intolerances that may affect or be affected by participation in the activity. If, for example, you have health concerns about whether you are allowed to use the sauna, please consult your doctor beforehand.
The programme/service provider is only liable for personal injury or damage to property that occurs in the event of an accident and is caused by negligence on the part of the programme provider itself or its employees or vicarious agents, or by the faulty provision of defective equipment.
The programme/service provider is not liable for accidental damage or injury that is not due to negligence or faulty equipment as mentioned above. These may be reimbursable under the participant's/guest's own travel insurance. Personal travel insurance is always highly recommended for unexpected situations!
If the instructions of the organiser or its assistants are not followed, we shall not be liable.
Liability for damages shall be determined in accordance with the general principles of liability for damages.

9. PROGRAMME CHANGES

All our activities and experiences are outdoor programmes, which will take place in all weather conditions. However, if on the day of the programme, the proper execution of the booked programme is not possible due to force majeure (thunderstorms, ice, strong winds and gusts of 5 Bft or more, heavy rain) or if the execution would endanger or impair persons, an alternative offer will be made.

10. GUESTS' BEHAVIOUR IN THE LODGE
Smoking is not permitted in the lodge buildings and tents, on the grounds or in the forest.
At Kalliokumpu Eco Lodge and during your stay, we expect good manners and orderly behaviour. All guests must behave in such a way that other guests are not disturbed and the smooth running of the lodge is ensured. The rules of the operators and/or employees of Kalliokumpu Eco Lodge must be followed. If you do not comply with these rules, you may be asked to leave the lodge immediately. In this case, you will be required to pay for your accommodation and any additional services ordered, and any payments already made will not be refunded.
Guests are responsible for the cleanliness of Kalliokumpu Eco Lodge, its premises and tent accommodation, including the grounds/courtyard, especially the Woodcuisine (outdoor forest kitchen), and for disposing of all waste at the end of the rental period.
With regard to the Woodcuisine, the use of the outdoor kitchen is permitted to all guests at their own risk for a fee of €10 per day, provided that it is not required for another event organised by Kalliokumpu Eco Lodge. After use, each guest is obliged to leave the kitchen, cooking utensils, tables and benches clean and to dispose of rubbish separately (rubbish bins are provided on the premises).
If the guest fails to clean the premises, Kalliokumpu Island Lodge will charge the full cleaning costs. The cleaning fee is €75/hour.
Open fires may only be lit in the designated fire pit. You may only use the fire pit with the wood provided (Kalliokumpu Eco Lodge provides wood). Use of the fire pit is prohibited in gusty winds and when there is a public forest fire hazard.
11. ADDITIONAL SERVICES/CLEANING OF THE ACCOMMODATION
You can book additional services for your stay, such as additional cleaning. Only the final cleaning is included in the price. The tent accommodation must be left swept clean. The final cleaning is included in the price.
12. CUSTOMER LIABILITY FOR DAMAGE
As a guest, you are liable for any damage caused intentionally or accidentally by you, your guest/companion or your pet in the buildings/tents or on the grounds of Kalliokumpu Island Lodge. This also applies to the furniture and other equipment of Kalliokumpu Eco Lodge. Kalliokumpu Eco Lodge has the right to charge the guest for any damage caused. Our lodge is like your home, so please treat everything with respect!
Liability for damages is determined in accordance with the general principles of liability for damages.
If the guest notices any damage or anything inappropriate at Kalliokumpu Eco Lodge, the operators and/or employees of the lodge must be informed immediately.
13. RESPONSIBILITY FOR YOUR VALUABLES
Kalliokumpu Eco Lodge is not liable for damage to or loss of valuables during your stay.
Please take care of your belongings yourself.
Kalliokumpu Eco Lodge is not responsible for damage to or loss of vehicles parked on its premises or for items left in vehicles.
14. INSURANCE
We recommend that all our guests take out travel cancellation and travel health insurance to cover all eventualities.
15. PETS
Due to allergies, to maintain peace and quiet and out of consideration for the needs of other guests, pets are only welcome in the buildings and tent accommodation by prior arrangement. Please inform us of any pets when making your reservation and contact us in advance to check whether a stay at Kalliokumpu Eco Lodge with a pet is possible.
16. CANCELLATION BY THE SERVICE PROVIDER
Kalliokumpu Eco Lodge reserves the right to cancel a booking due to force majeure (the lodge is unable to provide the agreed services due to a factor that affects its operations, e.g. strike, fire, water damage, natural disaster, state of war, personal illness, etc.). In such cases, the booking fee will be refunded to the guest. The reservation may also be transferred to another accommodation of at least the same standard (in which case the matter will be agreed between the lodge and the customer).
17. APPLICABLE LAW AND DISPUTE RESOLUTION
The parties will attempt to settle any disputes arising from the agreement through mutual negotiations. If no agreement can be reached, the guest may bring the matter before the consumer arbitration board or a district court in Berlin. The contract is subject to German law.
Kalliokumpu Eco Lodge reserves the right to change the terms and conditions.
